Information for presenters

We’re excited to welcome you as a presenter at the SEFI 2025 Annual Conference! To help you prepare for your contribution to the conference, we have compiled practical guidelines for different session types: paper sessions, discussion sessions, workshops, and poster presentations. These instructions include details on timing, format, technical setup, and other useful tips to ensure smooth and engaging sessions.

Guidelines for Presenters – Paper Sessions

Format: 4 presentations + Q&A after each
Total session length: 1 hour

Structure

  1. Opening – The session chair will briefly introduce the session and speakers.
  2. Each presentation:
    • 2 minutes for setup and brief introduction
    • 8 minutes for the presentation
    • 5 minutes for audience questions and discussion with the presenter
  3. The chair will keep the session on time and facilitate Q&A.

Technical recommendations

  • Using your own laptop for slides is recommended.
  • HDMI connection will be available in the room, with an adapter for USB-C. For other type of ports, please bring your own adapter.
  • Consider also having your presentation ready on a USB stick as a backup, in case of technical issues.

Timing

  • Please respect the strict time limits so all speakers have equal time and the session runs smoothly.
  • The chair will signal when you have 1 minute remaining in your presentation.

Tips for Success

  • Focus on your main contributions—avoid trying to cover every detail of the paper.
  • Engage with the audience during Q&A by being clear, concise, and open to discussion.

Guidelines for Presenters – Discussion Sessions

Format: 3-4 short presentations + panel-style discussion
Total session length: 1 hour

Structure

  1. Opening – The session chair will briefly introduce the session and speakers.
  2. Presentations – Each speaker will have
    • 6 minutes for their presentation (no individual Q&A at this stage)
    • Presentations will be given back-to-back in the order set by the chair.
  3. Panel Discussion (approx. 30 minutes) – After all presentations:
    • The chair will moderate questions from the audience.
    • All speakers participate together, responding from their own perspectives.
    • The aim is to encourage interaction, comparison of approaches, and deeper exploration of the topics.

  • Using your own laptop for slides is recommended.

  • Before the conference, read the other presenters’ papers in your session so you can make informed connections and respond to their perspectives during the discussion.
  • Be prepared to respond to questions not only about your own work, but also about how it relates to others in the session.

Guidelines for Presenters – Workshop Sessions

Format: Interactive, hands-on activities with active participant engagement
Total session length: 1 hour

Preparation

  • Check your workshop room in advance to get familiar with seating arrangement, technical facilities, and available space.
  • Available materials: Paper, pens, markers, sticky notes, and flipchart paper will be provided upon request. If you require anything else, please bring it with you.
  • Take a moment to review your workshop plan so that the activities flow smoothly and fit comfortably within the 1-hour slot. Remember to allow time for setup, transitions, and discussion, so participants can fully enjoy and benefit from the experience.

  • If you use slides, bring your own laptop. HDMI connection will be available in the room, with an adapter for USB-C. For other type of ports, please bring your own adapter.
  • Consider also having your material ready on a USB stick as a backup, in case of technical issues.

After the conference

Remember to add the outcomes of your workshop to your workshop plan to complete the final workshop report for the conference proceedings. The deadline for submitting the final workshop report is Monday, October 13, 2025.

Guidelines for Poster Presenters – SEFI 2025

Poster format and design

  • Size: Posters are recommended be of size A0 (portrait orientation).
  • Logo: Please include the SEFI logo on your poster. You may also include the conference logo
    • SEFI LOGO (png) (svg)
    • Conference logo (svg)
  • Format: Posters must be printed as one complete sheet – they may not be assembled from smaller sheets.

Printing

  • Posters can be printed locally in Tampere at Grano (at your own cost).
  • Price and contact details will be provided later.
  • Grano will deliver printed posters to the University information desk for collection.

Display

  • Posters will be displayed for the entire conference: Monday to Thursday.
  • Your poster should be set up on Monday morning and remain in place until the end of programme on Thursday.

Pitch presentation in plenary

  • All poster presenters will prepare a 1-minute “pitch” to introduce their poster in the Wednesday plenary session (live presentation).
  • To allow your poster image to be shown in the plenary hall during your pitch, please send a PDF version of your poster by Wednesday, 10 September 2025 (submission address will be provided later).

During the poster session

  • Poster presenters are expected to be present at their posters during the designated poster session to discuss their work and answer questions from attendees.
